How to Register or Renew a Family Membership on DOKUME

 

This guide explains how a parent can set up a family on DOKUME and renew Judo BC / Judo Canada memberships for themselves and their children.

 

A parent does not need to be a Judo BC member to manage their children's accounts. However, if the parent is also a judoka, they should renew their own membership first.

 

1. Create the Parent DOKUME Account

 

First, the parent should create a DOKUME account at:

 

https://judocanada.dokume.app

 

This will become the main parent account used to manage the family.

 

2. If the Parent Is Also a Judoka

 

If the parent is a Judo BC / Judo Canada member, renew the parent's membership first.

 

Step 1 — Find your previous membership

 

Find your 2025–2026 membership here:

 

https://judocanada.dokume.app/public/#/abo_management_public

 

Enter the requested information to locate your existing membership.

 

Important — Date of Birth from Trackie

 

Some dates of birth were entered incorrectly in the previous Trackie system.

 

If DOKUME cannot find your existing membership, you may need to enter the date of birth that was recorded in Trackie, even if that date was incorrect.

 

Step 2 — Complete the waivers

 

Once your membership has been found, follow the instructions and sign all required waivers.

 

Step 3 — Link your membership to your DOKUME account

 

DOKUME will ask you to either:

  1. Create an account, or

  2. Link the membership to an existing account.

 

Because you already created your parent DOKUME account, select LINK.

 

Log in using your parent DOKUME account.

 

Step 4 — Renew your membership

 

Continue through the registration process and select your new Judo BC / Judo Canada membership.

 

At this stage, you can also select a different Judo BC club if you are changing clubs.

 

Step 5 — Pay

 

Once the renewal has been completed, you should see a yellow PAY button.

Complete the payment.

 

Your membership should now be renewed, and you should be able to register for Judo BC / Judo Canada events.

 

Renewing a Child's Membership

 

The process is different depending on the child's age.

 

Situation 1 — Child Under 14 Years Old

 

Children under 14 are not old enough to have their own independent DOKUME account.

 

Step 1 — Find your child's previous membership

 

Go to:

https://judocanada.dokume.app/public/#/abo_management_public

 

Search for your child's existing membership.

 

Step 2 — Link the child to the parent

 

DOKUME should recognize that the child is too young to manage their own account and will ask for the membership to be linked to a parent account.

 

If you are not already logged in, log in using your parent DOKUME account.

 

You will then be able to link the child's membership to your account.

 

Step 3 — Complete the renewal

 

Continue through the membership renewal process:

  1. Complete the required waivers.

  2. Select the appropriate membership.

  3. Confirm the club.

  4. Complete the payment.

 

Step 4 — Check that the child is linked

 

Once completed, log in to your parent account.

 

In the top-right corner, select Change Profile.

 

Your child should now appear as a Sub Account under your parent account.

You can switch between your own profile and your child's profile from here.

 

Situation 2 — Child 14 Years Old or Older

 

Children aged 14 or older need their own DOKUME account, but the parent can still be given access to manage their account.

 

Step 1 — Log out of DOKUME

 

Before starting, make sure you are completely logged out of any DOKUME account.

 

Step 2 — Find your child's previous membership

 

Go to:

https://judocanada.dokume.app/public/#/abo_management_public

 

Search for your child's existing membership.

 

Step 3 — Complete the waivers

 

Follow the process and sign the required waivers.

 

Step 4 — Create the child's DOKUME account

 

DOKUME will ask you to either Create or Link an account.

 

For a child aged 14 or older, create an account using the child's own email address.

Continue through the registration process.

 

Step 5 — Renew and pay

 

Select the appropriate membership and club, complete the renewal, and pay for the membership.

 

3. Give the Parent Access to the Child's Account

 

While you are still logged into the child's account:

 

Go to:

Top Right → Settings → Support

 

Add the parent's email address.

 

For the expiration date, select no expiration date.

 

Save the changes.

 

The parent will now have permission to access the child's account.

 

Step 6 — Return to the Parent Account

 

Log out of the child's account.

 

Log back in using the parent DOKUME account.

 

Go to:

Top Right → Change Profile

 

You should now be able to see and access the child's account from the parent account.

 

Payment Problems

 

In some cases, a credit card payment may be declined or blocked because DOKUME is a German-based platform and your bank may identify the transaction as unusual or potentially suspicious.

 

If you have problems completing the payment:

  1. Log in to the DOKUME account.

  2. Switch to the appropriate family member's profile if necessary.

  3. Go to the Administration Area.

  4. Find the outstanding membership registration.

  5. Continue the process and complete the payment.

 

If the payment is still declined, you may also need to contact your bank or credit card provider to authorize the transaction.

 

Recommended Family Setup

 

For most families, the final setup should look like this:

 

Parent account

  1. Parent profile, if the parent is a Judo BC member.

  2. Children under 14 linked directly as Sub Accounts.

  3. Children aged 14+ with their own DOKUME accounts, with the parent's email added under Settings → Support.

 

From the parent account, use Top Right → Change Profile to switch between family members and manage registrations.
